Here are the officer descriptions for our club:

President

Leadership

  • Set the tone and goals for your administration.
  • Build a program plan for your term of office.
  • Preside over club meetings.
  • Delegate responsibility and provide support.

Administration

  • Read and follow your club constitution and bylaws.
  • Submit semi-annual report, roster, fees to Toastmasters International.
  • Prepare in advance for each club meeting.
  • Use the Distinguished Club Program/Club Success plan.
  • Appoint Web administrators.
  • Make additional appointments as needed.
  • Prepare your successor for office.

Club Representative

  • Attend/vote at area and district council meetings.
  • Vote at regional and international meetings.
  • Represent your club in the community.
  • Represent your club to meeting place management.


Immediate Past President

This is not an elected position but rather an extension of the President's responsibility after his or her term expires.


Vice President Education

Educational Programs

  • Prepare a general program outline for your term of office.
  • Plan meeting assignments at least one month in advance.
  • Orient new members to the Toastmasters program.
  • Conduct a Member Interest Survey (403) at least yearly.
  • Recognize educational accomplishments.

Leadership

  • Preside in the absence of the president.
  • Set the tone for club meetings and educational quality.
  • Be available for advice and assistance.
  • Attend/vote at area and district meetings.
  • Vote at regional and international meetings.
  • Attend executive committee meetings.
  • Work with the district educational lieutenant governor.

Administration

  • Sign Communication and Leadership manuals and update Member Program Progress Charts after each meeting.
  • Report manual and award completions promptly.
  • Keep a record of outside speeches.
  • Administer contests and other Toastmasters educational programs.
  • Participate in Distinguished Club Program/Club Success plan.
  • Keep a supply of educational materials for club use.
  • Prepare your successor for office.


Vice President Membership

Membership and Attendance

  • Prepare strategy for building club attendance.
  • Make every effort to retain members already in club.
  • Welcome guests and encourage them to join club.
  • Encourage members to attend all club meetings.

Administration

  • Arrange a meaningful induction ceremony for new members.
  • Participate in Distinguished Club Program/Club Success plan.
  • Attend executive committee meetings.
  • Attend/vote at Area Council meetings.
  • Work with your district officers.
  • Prepare your successor for office.


Vice President Public Relations

Public Relations

  • Plan and maintain an active club publicity program.
  • Prepare publicity materials.
  • Supervise publication of club bulletin or newsletter.
  • Write for your company publication.

Leadership

  • Attend other Toastmasters events; develop contacts with individuals/groups outside club.
  • Provide members with outside involvement opportunities.
  • Coordinate Communication Achievement Award ceremonies.
  • Prepare your successor for office.


Secretary

Club Responsibilities

  • Maintain a current membership roster and accurate attendance records.
  • Record and read minutes of club meetings and activities and executive committee meetings.
  • Participate in Distinguished Club Program/Club Success plan.
  • Keep club constitution and bylaws.
  • Prepare your successor for office.

Reports and Correspondence

  • Promptly report all membership changes.
  • Submit names and addresses of new officers.
  • Prepare and mail orders for Toastmasters supplies.
  • Maintain general club correspondence.
  • Help president prepare semi-annual report, roster, and fees for submission to World Headquarters.


Treasurer

Receive and Disburse Funds

  • Provide the bank with a new signature card.
  • Notify each member in writing of dues payable.
  • Collect payable dues and fees.
  • Pay all bills promptly.
  • Issue a check for new member fees and semiannual per capita payments.

Records and Reports

  • Prepare an annual budget for the club.
  • Keep complete and accurate records of all financial transactions.
  • Present an oral and written financial report monthly.
  • Participate in Distinguished Club Program/Club Success plan.
  • Submit club accounts for audit near the end of your term.
  • Prepare your successor for office.


Sergeant at Arms

Master Host

  • Arrange for food service at meal meetings.
  • Arrange for table and meeting room layout.
  • Greet all meeting attendees and make them feel welcome.
  • Remain near the door during the meeting.

Administration and Property Management

  • Set out club materials and equipment at all meetings.
  • Collect ballots and tally votes for awards.
  • Rearrange meeting room after the meeting.
  • Control all club property between meetings.
  • Participate in Distinguished Club Program/Club Success plan.
  • Prepare your successor for office.
